Scenario: You have a Calendar list in your SharePoint site and you want to send an alert e-mail to certain people only when the Location of an event changes. This is an easy alert to configure, and with the Alert Plus Web Part, you can customize the body of the e-mail so it is very specific for your team. Just follow these simple steps:
How To: Create a new alert by clicking New Item in the Alert Plus Web Part and then give the new alert a name, I chose Event Location has Changed.
On the Event Tab, select the Calendar list that contains the events. Next, choose A specific column in the list changes as the trigger. Then choose when to send the message; I chose to send them As Soon As Possible. The last thing shown on the Event tab below is a criteria builder so I can tell the alert service which items in the list generate an alert. I've specified that an alert e-mail should be sent if the previous value of the Location column does not equal the current value of the Location column. The criteria builder builds a CAML query that you paste into the CAML Query field by clicking Copy criteria to CAML Query Field button in the Criteria Builder area of the page. If you prefer to write the CAML yourself, you don't have to use the Criteria Builder; you can compose the CAML query directly in the CAML Query field.
On the Mail Format tab, compose the e-mail message to be sent. You can use the {Location} token to include the new location for the event. If you also wanted to include the old location, use the {Location/Old} token.
Make sure your new alert is Enabled and then Save your new alert.
Here are some other things you can do with this type of alert:
- Send an e-mail message when the time of an event changes
- Send an e-mail message when a task in a Tasks list is re-assigned (i.e., the Assigned To column changes)
- Send an e-mail message when a due date and/or Priority of a incomplete task changes.
